The Challenge
The organization relied on two different portfolio reporting assets, each with its own limitations. The Quarterly Portfolio Report was a manually assembled Excel report created for leadership review, while the Portfolio Dashboard was a Tableau dashboard intended to help users explore portfolio data across locations in more detail.
Both were important, and both needed improvements. The Quarterly Portfolio Report required one person to spend multiple weeks assembling it by hand every quarter, and by the time leadership received it, the data was already aging.
The Portfolio Dashboard already existed, but it did not fully reflect how leaders wanted to review the portfolio, which limited how actionable it felt in executive conversations.
Without change, leadership risked continuing to make investment and prioritization decisions with partial or misaligned views of the portfolio. That created real exposure around capital allocation, response time, and visibility into where investments were being made across locations.
Our Approach
Analytic Vizion partnered with this healthcare organization in a continuous improvement engagement to modernize portfolio reporting and redesign the executive dashboard.
On the people side, the team led a hybrid discovery session to align corporate real estate and analytics stakeholders on portfolio needs. They then worked with leadership in a co‑design model, including onsite collaboration on portfolio structure and dashboard layout. Reporting views now match how leaders think about the portfolio, starting with location type before other dimensions.
On the process side, we shifted reporting from episodic “report builds” to a structured continuous improvement cadence. Together with stakeholders, the team defined and prioritized enhancements for both the Quarterly Portfolio Report and the Portfolio Dashboard. This created an ongoing roadmap instead of treating either asset as finished at launch. That roadmap gives the organization a clear path for updates that stay aligned to evolving leadership questions.
Technically, the work focused on trust and usability for two distinct assets. For the Quarterly Portfolio Report in Excel, we refined a data pipeline that now assembles the report automatically every week, replacing a manual quarterly build that took one person weeks. For the Tableau‑based Portfolio Dashboard, the team redesigned the structure to begin with location type and then add other filters and views, making it more intuitive for executives and more snapshot‑friendly for presentations. Tableau and Tableau Prep support this redesign and automation, with ongoing adjustments to keep both assets aligned to leadership decision‑making.

The Results
The most immediate operational change was the automation of the Quarterly Portfolio Report. What had been a manual Excel process that took multiple weeks every quarter is now generated automatically every week, giving leadership fresher information in a format they already prefer.
The Portfolio Dashboard was also reshaped into a more usable executive decision tool. Its updated structure better reflects the questions leaders ask most often, and its design is more snapshot-friendly for executive presentations and conversations.
The work also strengthened confidence in the path forward. The client committed an additional investment for continued portfolio improvements, signaling trust in both the value delivered and the roadmap ahead.
